QoMEX 2025 adheres to the following registration policies:
- Each attendee must register separately.
- Each accepted full, short or demo paper must have at least one author with full (non-student) registration by July 21, 2025.
- Full (non-student) registration may cover up to two papers. The second paper requires at least an additional student registration (proof required). The student needs to be the first author of the second paper and must attend the conference.

Each regular or student registration includes:
- Admission to all sessions in main QoMEX program (Sep 30 – Oct 2).
- Admission to the AOM workshop (Sep 29).
- Admission to the worksop “Walking in their shoes” (Oct 3).
- Lunches and coffee breaks.
- Access to the proceedings.
- All social events in the program: welcome reception, gala dinner, after party.
Each AOM Workshop only registration includes:
- Admission to the AOM workshop (Sep 29).
- Coffee break and lunch on Sep 29.
OTHER REGISTRATION POLICIES
To be eligible for the early registration fee, payment of registration must be received in full by July 21, 2025, for all types of papers. Registration payments after the corresponding date will be charged with the late registration fee.
Participation of accompanying persons to the conference banquet is possible at a cost of 150 EUR. Participation of accompanying persons to the other social events (welcome reception and after party) is possible at an extra cost. If interested, please write an email to to info@qomex2025.com.
REGISTRATION CHANGES
If you have already registered and you want to modify your registration (e.g. change registration name) please send an email to info@qomex2025.com with your registration details and any modification request.
CANCELLATION/REFUND POLICY
Cancellations must be made in writing by email to info@qomex2025.com. Cancellations will be subject to a processing fee of 20% of the due amount until August 31 2025, and 100% afterwards.
AUTHOR NO-SHOW POLICY
IEEE reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore) if the paper is not presented at the conference.
QoMEX 2025 requires that each accepted paper be presented in person by one of the authors or a qualified substitute according to the schedule published in the technical program. Any paper accepted into the technical program, but not presented on-site will be withdrawn from the proceedings published on IEEE Xplore.
